Send Invoices from Gmail

Gmail is the simplest option — you already have an account, there is nothing new to sign up for, and emails come from your personal or business Gmail address which your customers recognize and trust. It is perfect for freelancers and small businesses sending fewer than 500 emails per day.

An App Password is a 16-character code generated by Google that lets third-party apps access your Gmail without exposing your main password. Since Google blocks less-secure app access, App Passwords are required for SMTP connections. Your main Google password remains safe and unchanged.

Yes. Google requires 2-Step Verification to be enabled on your account before you can generate App Passwords. Go to your Google Account > Security > 2-Step Verification and follow the setup. Once enabled, the App Passwords option becomes available.

Invoices sent from your personal Gmail address have good deliverability because Gmail has strong sender reputation. However, if you send high volumes or use a Google Workspace custom domain without proper SPF/DKIM records, some emails may be flagged. For higher volumes, consider Resend.

Gmail allows up to 500 emails per day for personal accounts and 2,000 per day for Google Workspace accounts. For most small businesses, this is more than sufficient. If you regularly exceed these limits, we recommend switching to Resend or a custom SMTP provider.

Yes. Since invoices are sent through your Gmail SMTP, they appear in your Sent folder just like any other email you send. This gives you a natural email trail and makes it easy to follow up with customers directly from Gmail.

Yes. Google Workspace works the same way. The advantage is that invoices will come from your custom domain (e.g., invoices@yourbusiness.com) rather than a @gmail.com address. The App Password setup is identical — just use your Workspace email credentials.

Yes. Your App Password is stored encrypted in our database and is only used server-side via SMTP to send emails. It is never exposed in client-side code or API responses. You can revoke the App Password from your Google Account at any time to immediately disable access.

Yes. Every invoice or quotation sent via Gmail includes a professionally formatted PDF attachment using your chosen template. The email body contains a summary with invoice number, amount due, and due date, while the full invoice is attached as a PDF.

Yes. In Settings > Email, you can set a custom "From Name" like "Your Business Name" or "Your Name - Invoices." The sender email will still be your Gmail address, but the display name will match your business branding.
