Step-by-Step Setup Guide

Connect Your HubSpot Account

Log in to your dashboard, go to Integrations, and click Connect HubSpot. You will be redirected to HubSpot to authorize the connection via OAuth. Select the HubSpot account you want to connect and grant permissions for deals, contacts, and line items.

Map Deal Properties to Invoice Fields

Configure how HubSpot deal data maps to your invoices. The integration auto-maps deal amount, associated contact, and company name. You can also map custom properties like PO Number, Payment Terms, and Project Name to invoice fields.

Set Your Trigger Stage

Choose which deal pipeline stage triggers invoice generation. Most businesses use Closed Won, but you can select any stage — Contract Signed, Deposit Received, or a custom stage. You can also generate invoices manually from any deal.

Select Your Invoice Template

Pick a professional template from the Template Gallery. Ensure your business name, address, logo, and tax registration are configured in Settings — these auto-populate on every invoice.

Enable Automatic Email Delivery

Turn on auto-send so invoices are emailed to the HubSpot contact as soon as they are generated. Set up your email provider in Settings → Email using Resend, Gmail, or custom SMTP.

Test the Integration

Create a test deal in HubSpot and move it to your trigger stage. Verify that an invoice is generated in Online Invoice Maker and that the email is delivered to the associated contact. Check that all deal properties, line items, and amounts are correct.
