Sync Invoices to QuickBooks

Invoices, customers, line items, tax rates, payments, and payment status all sync to QuickBooks Online. When you create an invoice in Online Invoice Maker, a corresponding invoice is created in QuickBooks. When a payment is recorded, QuickBooks is updated automatically.

This integration works with QuickBooks Online (QBO) only. QuickBooks Desktop does not offer the API connectivity required for real-time sync. If you use QuickBooks Desktop, consider migrating to QuickBooks Online or exporting invoices as CSV for manual import.

No. The integration uses unique invoice identifiers to prevent duplicates. If an invoice already exists in QuickBooks (matched by invoice number), it is updated rather than duplicated. This ensures your books stay clean even if you manage invoices in both places.

Tax rates from your invoices are mapped to corresponding tax codes in QuickBooks. During initial setup, you map your invoice tax rates to QuickBooks tax codes. If a tax rate does not exist in QuickBooks, you can create it during the mapping process.

Yes. After connecting, you can choose to sync existing invoices from a specific date range. This is useful when migrating to QuickBooks or when you want a complete record in your accounting system. Historical sync typically completes within a few minutes.

The integration works with all QuickBooks Online plans: Simple Start ($30/mo), Essentials ($60/mo), Plus ($90/mo), and Advanced ($200/mo). There are no additional fees from Online Invoice Maker for the QuickBooks integration.

Sync happens in real time. When you create, update, or mark an invoice as paid in Online Invoice Maker, the change is reflected in QuickBooks within seconds. You can also trigger a manual full sync from the integration settings if needed.

All data previously synced to QuickBooks remains intact — nothing is deleted. Disconnecting only stops future syncs. You can reconnect at any time and resume syncing. QuickBooks invoices created by the integration remain fully functional.

Yes. During setup, you map your product and service categories to QuickBooks income accounts. This ensures line items from your invoices are categorized correctly in QuickBooks for accurate financial reporting and tax preparation.

Yes. If your QuickBooks Online plan supports multi-currency (Essentials and above), invoices created in different currencies sync correctly. Exchange rates are pulled from QuickBooks settings to maintain accurate accounting records.
