Step-by-Step Setup Guide
Connect Your QuickBooks Account
Log in to your dashboard, go to Settings → Integrations, and click Connect QuickBooks. You will be redirected to Intuit's sign-in page where you log in to your QuickBooks Online account.
Authorize Access
QuickBooks will ask you to authorize Online Invoice Maker to access your company data. We request permission to create invoices, customers, and payments — nothing else. Select your company file if you have multiple, then click Connect.
Map Your Accounts and Tax Codes
Back in Online Invoice Maker, you will see a mapping screen. Match your product/service categories to QuickBooks income accounts (e.g. "Sales Revenue" or "Consulting Income"). Then map your tax rates to QuickBooks tax codes. This ensures invoices are categorized correctly for reporting.
Configure Sync Preferences
Choose your sync behavior: All invoices (syncs everything including drafts) or Finalized invoices only (recommended). Enable payment sync to automatically record payments in QuickBooks when you mark invoices as paid. Optionally sync historical invoices from a date you specify.
Test the Connection
Create a test invoice in Online Invoice Maker and check your QuickBooks Online account. The invoice should appear under Sales → Invoices within seconds, complete with customer details, line items, and tax amounts.
Enable Auto-Sync
Once verified, toggle on Auto-Sync in your integration settings. All future invoices and payment updates will flow to QuickBooks in real time. You can monitor sync status and resolve any conflicts from the integration dashboard.
